Overview
Rebilling Schedule functionality gives you the ability to process all Credit Card/ACH (NACHA) invoices that were declined in your regular Billing Schedule.
Configuring Rebilling Schedules
A Rebilling Schedule is a standard schedule and is configured in the same manner. However, there are some subtle differences so...
DO...this configuration in this ORDER!
DO NOT...schedule your rebilling to run DAILY (Recurrence Pattern) under any circumstance!!!!
Creating a Weekly Rebilling Schedule
To Create a Weekly Rebilling Schedule:
- From the Launch Pad, click the System Configuration icon in the left navigation panel.
- In the Financial section, select Billing Schedules.
- In the Process Schedules section (left panel), click Add. The New Schedule page displays.
- Enter the Name of the schedule in the Name text box.
- Enter a Description (optional) of the schedule in the Description text box.
- In the Dates section, enter a date or click the calendar icon to enter a an Effective Date. This is the start date that the schedule. Repeat the process for the End Date (optional).
- Select Weekly from the Recurrence Pattern drop-down list.
- Enter "1" (or use the up-and-down arrows) in the the Recur Every Week(s) On field.
- Click the On these dates radio button and select the check box of the day of the week you wish the task to be processed.
- Click the Save button.
Schedule Settings
After you create the Rebilling Schedule, you must apply it to the Business Unit, with the applicable Tender Type settings.
To Apply the Rebilling Schedule to a Business Unit:
- In the Process Schedules section (left panel), click the Rebilling Schedule you just created.
- In the Billing Settings section (right panel), click Add.
- Select the Enterprise, Division, or Business Unit you want to apply this schedule to in the Business Unit drop-down list.
- The Start Date defaults to today’s date. To edit the date, click in the date box or click the Calendar icon and select a different date.
- Click the Edit link. The Assigned Tenders pop-up window displays. (NOTE: You must be in edit mode in the row editor for the fields to be activated.)
- Select the check boxes of the Tenders you want to apply to this Schedule.
- If you want this Rebilling schedule to also be included in the Aging:
- Click in the Aging Min (days) field and enter the minimum aging days e.g. If you set this to five (5) days, the system will wait for the invoice to be five days old to be picked up in the Rebilling process.
- Enter the maximum aging days in the Aging Max (days) field e.g. If you set this to "14" days, the system will no longer attempt to process invoices older than 14 days.
- If you do not want this schedule included in the aging skip this step and proceed.
- Do NOT select a Rebilling Schedule from the drop-down list!
- Click Done and you will be returned to the Billing Settings row editor.
- The Statements Allowed check box defaults to selected. This allows you to get a Statement for your billing or payment. Clear the check box if you do not want this feature activated.
- Click the Update button.
Linking a Rebill Schedule to a Regular Billing Schedule
To Link a Rebilling Schedule to a Regular Schedule:
- From the Launch Pad, click the System Configuration icon in the left navigation panel.
- In the Financial section, select Billing Schedules.
- In the Process Schedules section (left panel), select your regular Billing Schedule.
- In the Billing Settings section (right panel), click the row of the Business Unit record or double-click in that row to activate the row editor.
- Click the Edit link under Allow Tenders. You must be in edit mode to activate the field in the Allowed Tenders pop-up window.
- Double-click in the Rebilling Schedule field and select your Re-Billing Schedule from the Rebilling Schedule drop-down list (repeat this for each Tender Type). This sets the schedule for when any declined payments will be processed.
- If you want this Rebilling Schedule to be included in Aging and in the aging reports, double click and enter the Aging Minimum (days) and Aging Maximum (days) in each of those fields. (NOTE: These Min and Max days apply to Re-billing ONLY.)
- Click Done and you will be returned to the Billing Settings row editor.
- Click the Update button.
