This is were both Standard and Warehouse reports are stored. Warehouse Reports run from the Warehouse database and are typically better suited for summary reports. Conversely, Standard Reports run from the live data through the production database and are much better suited for detailed reports.

Report Builder

Click the Launch Report Builder button to access the Ad Hoc reporting tool used in MosoMRM. A link is available on this page to access detailed user documentation on how to use the Report Builder feature (see screen shot below).

How to Display a Report

The header of each report has three (3) sections and is basically the same, regardless of the report.

To Display a Report:

  1. From the Launch Pad, click Data Analytics icon in the left navigation panel.
  2. In the Categories section (top left), click the Expand button Expand Button.png or double-click the name of the report type you would like to display (Standard or Warehouse).
  3. Click the Expand button or double-click the sub-category of the report type you would like to display.
  4. In the sub-category list, click the name of the report you would like to display. The information you selected will populate the fields in the Editor section (bottom left) and the Original Name and Version information will automatically display.
  5. Click the Launch button.

  7. Select the required parameters in the top section of the page.
  8. When all of the parameters are correct, click the View button. The report information based on the selected parameters will display in the bottom portion of the page.
  9. To export the information to an Excel Spreadsheet click the Excel button.
  10. To create a PDF version of the report, click the PDF button.

Smart Dates

The Smart Dates give you the option to select from a commonly used, pre-defined list date ranges. These ranges are then automatically loaded into the date parameter fields.

Report Scheduler

The Report Scheduler feature gives you the ability to schedule the sending of any Standard Report to an individual User, or group of Users using a single email address.

You can set up a distribution schedule for all of your standard reports that includes::

  • Scheduling the frequency for each distribution (Once, Hourly, Daily, Weekly, Monthly).
  • Scheduling the Start Time & Date and End Date.
  • Selecting the format in which the report is sent (PDF, Excel).

NOTE: Currently, the scheduler is designed for a one-to-one relationship only i.e. one user sending a scheduled report to another user, not for using multiple email entries or multiple schedules. This may be occurring in future versions of MosoMRM.

Scheduling a Report

VERY IMPORTANT...once your date criteria is selected in the scheduler options, you MUST return to the report parameters section and ensure the correct options are selected!

To Schedule and Distribute a Report:

  1. To access the scheduler options for any given report, click Data Analytics in the Module menu.
  2. In the Categories section, expand the Standard folder and select any Standard Report in any folder.

  3. Click the View Report button to open the report.(The Member Accounts report will be used as the example throughout most of this document.)
  4. Click the Schedule button in the lower right corner of the report parameters section (light gray). If you hover over the button, it will turn red. This opens the scheduler setting options section where you enter a.

IMPORTANT NOTE: Before you schedule a report, make sure the report will generate data (see screen shot below). Select all of the necessary options and parameters, click the View button, and display the report BEFORE starting the scheduling process. If the report generates the required data, start the scheduling process.

After you have verified that the report will produce data and have clicked the Schedule button, the scheduling options will display, including the four (4) steps to complete the scheduling process.

Step 1: Set the Predefined Date Criteria

This is where you select the frequency, start time and date and end date of the schedule and they are options for every scheduled report.

  • The Schedule drop-down list determines the frequency of the schedule.
  • The Start Time, Start Date, and End Date options are available for every frequency option.
  • A Start Time and Start Date are required for all frequency options. End Date is optional.

When scheduling a report, specifying a date range is required. The Date Criteria selected inside the report itself cannot be used. If you did select those options, it would schedule the same dates to be delivered any time you run the scheduled report. So if your scheduled date criteria specify that you are running the report for December 31, the report will always run for that date, no matter how often it was scheduled. Because of this, the scheduler is set up so that it runs with specific ranges, based on the report that is being scheduled at the time. For non-time-sensitive reports, such as the Member Account report, there is no additional action required in Step 1.

If Date Criteria are required on the actual report, additional scheduling options will also be required.

All four (4) options in the Schedule drop-down list are covered first in the following outline. The Clock and Calendar icons, and the End Date check box display for every option you select in that drop-down list and are covered after these options.

  1. Select the frequency of the schedule in the Schedule drop-down list.
    1. Once
      1. The report will be distributed once at the selected Start Time on the selected Start Date.

    2. Daily
      1. Enter the amount of days that it will be distributed in the Every (#) day(s) field.
      2. In the example below, the report will be distributed Daily (once), every 5 days at the selected Start Time on the selected Start Date for one year (End Date).

    3. Weekly
      1. Enter the amount of weeks that the report will be sent in the Every (#) week(s) field.
      2. Select the check box of the specific day(s) of the week on which you want the report to be scheduled.
      3. In the example below, the report will be sent Weekly (once a week) on weekdays only, every 1 week (i.e. every week), at the selected Start Time on the selected Start Date. If you enter “2” in the Every week(s) field, this same report will be sent every TWO week on weekdays only i.e. every other week, starting on the selected date and at the selected time.

    4. Monthly
      1. Click the Day {#} of the month(s) radio button and enter the numeric day of the month the report will be scheduled.

      2. OR click The nth weekday of the month(s) radio button and select which week and day within that week the report will be scheduled.

      3. Select the check box of the month(s) on which you want the report to be scheduled.
      4. In the example above, since “January” is the only month selected and “1” is selected in the Day of the month(s) field, this report will be sent once a year on January 1st only. These are good options if you want to schedule and end an end-of-year-report to be sent on the following day (January 1st). If you wanted to send a quarterly report on the first day of the month for example, select January, March, June, September (January covers the remaining 3-months of the previous year) check boxes and enter “1” in the Day of the month(s) field.
      5. In the example below, the report will be sent Monthly (once), on the First Monday of the month (in this case, only January is selected) at the selected Start Time on the selected Start Date. There is no end date.
        This report is scheduled to be sent during a specific week and specific day of the month.
  2. Click the Clock icon and enter a Start Time. A time picker displays for you to select the time. All time is displayed using the 24-hour time clock.

  3. Click the Calendar icon and select or enter a Start Date. A date picker displays for you to select the time. All dates are displayed using the US Date Format (mm/dd/yyyy).

  4. If there is a specific end date for this schedule, select the End Date check box and enter or select a date.
Required Date Criteria

If there are Date Criteria in the actual report, the Start Date and End Date drop-down lists will display below the Step 1 label and they are required. If there are multiple date range options in that section of the report, multiple start and end date scheduling options will also be available in the scheduling options, and numbered accordingly (see the example below).

If the required Date Criteria is a specific Date Range only, e.g. in the Activity History report, ensure that these dates match the dates you enter in the scheduler options.

In the example below, using the Activity History report, the Date Criteria on the report are as follows:

Therefore when you enter the scheduling options, if you would like the schedule to constantly apply the dates, select the following in the Start Date 1 and End Date 1 drop-down lists:

  • Start Date 1 : Yesterday
  • End Date 1: Today

If the required Date Criteria has the Compare Start Date Using options, the As Of Date and Date Range radio buttons will display and you MUST make these selections before finalizing your scheduling options e.g. in the Non-Finalized Agreement Initiation report. If you have not selected these before clicking the Schedule button, the report will run with its standard default options. If this occurs and you have to change this, the scheduler options will reset and you will have to restart the scheduling process again.

Continuing with this example using the Non-Finalized Agreement Initiation report, if you have the Date Range criteria selected, your scheduling entries will look like this:

Some reports may have multiple date range options e.g. the Activity Liability report. In these instances, specify if the item was purchased or consumed either “between” particular dates, or “as of” a particular date:

Using the Between date ranges, you would have a Start Date and MULTIPLE End Dates:

Step 2: Reselect the Business Units

As a best practice, ALWAYS ensure that the appropriate Business Unit option(s) is selected.

Step 3: Confirm Other Selections

VERY IMPORTANT…Once your date criteria are selected in the scheduler options, you MUST return to the report parameters and ensure that the correct options or are selected. After you start the scheduling process, NOT ALL OF THE REPORT PARAMETERS ARE SELECTED BY DEFAULT! Though some of the selections may default, if there are standard default selections within the report, you may get incorrect selections. So if you do not return and check your selections, you may get a blank report.

To illustrate the example of how the options may change, in the Member Interests report below, before you click the Schedule button, your selections might look like this:

Note that the selections in the Member Stage and Interests combo boxes are no longer highlighted. Also ensure that all selections and options have the appropriate values before continuing to the next step, or you may not have anything delivered to your inbox.

Step 4: Finish

The final two (2) steps are entering email addresses and selecting a file format.

  1. Enter the email from which the scheduled report is being sent in the Email from field.
  2. Enter the email to which the scheduled report is being sent in the Email from field.
    1. Entering a properly formatted email address in both the Email from and Email to fields is required.
    2. IMPORTANT NOTE: Currently, the scheduler will only allow you to enter one address or one group address.

  3. Select the file format with which you are sending the scheduled report in the Attach as drop-down list. PDF or Excel are the only options.

<p>If all of the information is correct, click the Save Schedule button. The details of the Current Schedule will display in that same section of the report.

Editing or Deleting a Schedule

After you have saved the schedule, the Current Schedule section now includes the Edit Schedule and Delete Schedule buttons.

If you select the Edit Schedule button, the scheduling options that you previously used will display with the current settings for that schedule preloaded. Editing the schedule simply saves the new settings and discards the old schedule.

If you select the Delete Schedule button, a warning message will display verifying that this is action you wish to take before completing the deletion.

Report Scheduler Management

After scheduling a report, you may either run or delete your scheduled report from Report Scheduler Management in the Configuration folder in Data Analytics. This displays a list of all of the scheduled reports in the system. To display the Scheduled Reports List page, click the View Report button.

Before running any of the scheduled reports, the page looks like this with the included Actions:

  • Run Now
  • Delete

If you click the Scheduled Report Name link (in this case MOSO_MEM0012_MemberInterests), the following information displays:

  • The logged-in User that is running the report.
  • The scheduled run time of the report.
  • How often the report will be run.

If you select Run Now, a confirmation request message displays verifying that this is the task you wish to execute. If yes, click the OK button.

Once you click OK, the Scheduled Reports List displays again with Yes in the Running column. This lets you know that the report is currently running.

After the process completes:

  • If the report runs successfully, a green checkmark displays in Last Run Status column.
  • If your report does NOT run successfully, a red X displays instead of a green checkmark. If this occurs, contact MosoMRM Support.
